Privacy Policy

ListingMate (“ListingMate”, “we”, “us”) provides white-label listing-marketing software to Australian real estate agencies. This policy explains how we handle personal information in accordance with the Privacy Act 1988 (Cth) and the Australian Privacy Principles (APPs). It applies to our marketing site, the ListingMate application, and the agencies (our customers) who use it.
Information we collect
- Account & contact details — names, work email addresses, phone numbers and agency details of the people who set up and use ListingMate.
- Listing data — property details, descriptions, prices, open-home times and imagery, sourced from your CRM, a REAXML feed, a CSV, or entered by hand.
- Connected-account tokens — authorisation tokens for the social and CRM accounts you connect, stored encrypted and used only to publish on your behalf.
- Usage data — log, device and analytics information about how the application is used, to keep it secure and improve it.
How we use it
We use personal information to operate the service: to generate campaign copy and branded assets, to schedule and publish posts you have approved, to provide support, to secure and improve the product, and to meet our legal obligations. Nothing is published to your accounts until a person at your agency approves it.
Disclosure to third parties
We share information with service providers only to the extent needed to run the service, including: social platforms you connect (Meta / Instagram and Facebook) for publishing; CRM and listing-feed providers you connect; cloud hosting and database providers; and AI subprocessors used to draft copy and render assets. We do not sell personal information.
Overseas disclosure
Some providers store or process data outside Australia. Where they do, we take reasonable steps to ensure the information is handled consistently with the APPs.
Storage and security
Each agency’s data is isolated by tenant, and connected-account credentials are encrypted at rest. We apply access controls and retain information only for as long as needed to provide the service or meet legal requirements.
Cookies and analytics
We use essential cookies to run the application and may use privacy- respecting analytics to understand usage. You can control cookies through your browser settings.
Your rights
You may request access to, or correction of, the personal information we hold about you. To do so, contact us using the details below. If your agency is the one that holds your information in ListingMate, please contact them directly as well.
Complaints
If you have a privacy concern, contact us first and we will work to resolve it. You may also complain to the Office of the Australian Information Commissioner (OAIC) at oaic.gov.au.
Changes
We may update this policy from time to time. We will post the updated version here and change the “last updated” date.
